Booking, Pricing
& the Basics

Everything you need to know before you enquire — how we work, what to expect, and how to get started.

How do I get a quote?
+
The easiest way is to fill in our online enquiry form — just tell us your event type, date, location, and rough requirements, and we'll come back with a tailored quote usually within 24 hours. You can also call or text us directly on 0407 003 792 and we can often give you a ballpark figure on the spot.
How quickly will you respond to my enquiry?
+
We aim to respond to all enquiries within 24 hours during business hours (Mon–Sat, 8am–6pm). For urgent or last-minute requirements, calling or texting 0407 003 792 is always the fastest way to reach us — we pick up or reply quickly.
Do I need to pay a deposit to secure my booking?
+
Yes — once you're happy with your quote, a deposit is required to formally lock in your date and confirm the booking. The deposit amount and payment details will be confirmed when we send through your booking confirmation. Popular dates — especially weekends in spring and summer — can fill quickly, so we recommend securing your date as soon as you're ready.
Can you accommodate last-minute bookings?
+
We always try. Availability depends on our schedule and current stock levels, but give us a call if your event is coming up quickly — we've pulled off some very tight turnarounds when it matters. The sooner you reach out, the better your chances of securing what you need.
What is your cancellation policy?
+
Our cancellation policy is outlined in your booking confirmation. Generally, deposits are non-refundable as they hold your date and prevent us from booking other clients. For significant date changes, we'll always do our best to work with you to find an alternative. Contact us as early as possible if your circumstances change.
Do you deliver, set up, and pack down?
+
Yes — all marquee hire includes delivery, professional installation by our crew, and full packdown after your event. We don't offer self-collect on marquees or structures — we want to make sure everything is installed safely and correctly every time. Smaller items like market umbrellas and picnic tables may be discussed separately on a case-by-case basis.
Is there a minimum order or event size?
+
There's no strict minimum. We work with events of all sizes — from a single 3×3m pagoda for a market stall through to full multi-marquee festival sites and grand wedding setups. Just tell us what you need and we'll let you know what's possible.
How far will you travel?
+
We're based in Geelong and service all of Victoria including the Bellarine Peninsula, Surf Coast, Melbourne, Mornington Peninsula, Ballarat, Bendigo, and regional Victoria. We also travel interstate for larger events. Travel costs are factored into your quote based on location.

Sizes, Setup
& Structures

Capacity Calculator
Not sure what size you need? Use our interactive capacity calculator — enter your guest count and event style and get an instant recommendation.
What marquee sizes do you have?
+
We stock pagoda marquees in 3×3m and 4×4m, and structure marquees in 4m, 6m, and 10m widths — all available in lengths from 3m to 30m. Our largest structure (20×45m) can accommodate up to 240 seated or 400 standing guests. We also offer The Emerald — an 8.6m high, 25m long glass marquee for premium events. See our full size and capacity table for details.
How many guests fit in each marquee size?
+
Capacity depends on your event configuration. As a guide: a 6×12m seats up to 60 guests or stands 80; a 6×18m seats 90 or stands 120; a 10×15m seats 120 or stands 200. Our full capacity table is available on the Marquees page. Remember to allow extra space if you're including a dance floor, stage, or bar area.
Are your marquees weatherproof?
+
Yes — our structure marquees are fully weather-resistant and designed for the Australian climate. With solid side walls installed, they keep guests completely dry in rain. For windy coastal sites like the Surf Coast, we use appropriate anchoring methods to ensure stability. We'll always discuss your site conditions during the planning process.
Do the marquees come with side walls?
+
Yes — side walls are available for all our structure marquees, in both solid white and clear panel options. You can choose to have all sides enclosed, partially open, or fully open depending on your preference and weather conditions. Side wall configurations are discussed and confirmed during your booking.
Can you set up on any surface?
+
We can install on grass (pegged), hard surfaces like concrete or pavement (using ballast weights), and most mixed or uneven outdoor surfaces. For unusual sites or sloped ground, we'll typically arrange a site visit or request photos and measurements before confirming. Let us know your surface type when you enquire.
When will you set up before my event?
+
For weddings and major events, we typically set up the day before — giving your stylist, caterer, and other vendors plenty of time to work inside the structure. For shorter-notice events, we'll always work to a timeline that suits your event schedule. Setup and packdown times are confirmed during your booking process.
Do you supply flooring?
+
Yes — we offer timber flooring, carpet, and synthetic grass flooring options to complement your marquee. Flooring transforms a marquee from a simple shelter into a proper venue space and is especially popular for weddings. Ask us about flooring options when you enquire and we'll include it in your quote.
Do you do site visits?
+
For larger events or unusual sites — sloped ground, restricted access, private properties — we'll arrange a site visit to confirm sizing, access, and the best setup configuration. For straightforward locations, we can often plan remotely via photos, measurements, and a phone call. We'll advise during your initial enquiry whether a site visit would be recommended.

Wedding Marquee
Questions

Planning a marquee wedding? Here are the questions we hear most from engaged couples. For more detail, visit our Weddings page.

How far in advance should I book for a wedding?
+
For weddings, as early as possible — particularly for peak season dates between October and April. Popular spring and summer weekends can book out 6–12 months in advance. Don't hesitate to reach out even if your date is approaching — we'll always let you know honestly what's available and do our best to help.
Can I have a marquee wedding anywhere?
+
Almost anywhere — that's one of the biggest advantages of a marquee wedding. Your parents' backyard, a winery, a clifftop, a farm, a park, a beach — if there's outdoor space and we can get access, we can make it work. We'll discuss your site's suitability during your enquiry and flag anything that needs attention.
Do I need a council permit for a wedding marquee?
+
This depends on your local council, the size of the structure, and the location. Some council-owned parks and reserves require permits for temporary structures. On private property, requirements vary. We can advise you on what's typically required and our installations always meet relevant safety standards. We recommend checking with your local council early in your planning process.
Can I use my own florist and stylist inside the marquee?
+
Absolutely — and this is one of the most popular reasons couples choose a marquee wedding. The structure is a completely blank canvas. Your florist, stylist, and caterer can style it exactly as you envision with no venue restrictions on suppliers, colours, or design choices. We set up the structure; you and your team make it beautiful.
What if it rains on our wedding day?
+
Our structure marquees are fully weather-resistant. With solid side walls fitted, you and your guests will stay completely dry regardless of what the weather does. For cooler months, we can discuss optional heating. Weather is one of the most common concerns couples have — and one of the strongest arguments for a marquee over an open outdoor setup.
Do you supply tables, chairs, and furniture for weddings?
+
Yes — we stock a full range of event furniture including natural timber banquet tables, trestle tables, Hampton crossback chairs, Americana chairs, bar tables, Tolix stools, and lounge furniture. We can package furniture with your marquee hire for one delivery and one invoice. For premium lux-line furniture, ask us about our Emerald partnership with That Event Group.
Can I have a separate ceremony and reception marquee?
+
Yes — many couples hire a smaller pagoda or structure for the ceremony and a larger structure for the reception. This is a great way to create distinct spaces and transition your guests through the day. We'll plan the layout and quote for both structures together so everything works cohesively on your site.

Insurance, Certs
& Compliance

For councils, racecourses, and corporate event organisers who need more than just a marquee — here's how we handle the compliance side of things.

V2 Certified & Fully Insured
Linked Events has a V2-certified team member on staff and carries full public liability insurance. Compliance documentation and certificates of currency are available on request for all events that require them.
What does V2 certified mean?
+
V2 certification relates to the formal sign-off of temporary structure installations. A V2-certified team member has the qualifications to formally certify that a marquee structure has been installed safely and in compliance with relevant standards. This certification is commonly required by councils, racecourses, and larger event venues before a structure can be used. Linked Events has a V2-certified team member on staff.
Can you provide insurance and compliance documentation?
+
Yes. We hold full public liability insurance and can provide certificates of currency and compliance documentation on request. This is standard for council events, racecourse bookings, and larger corporate events. Simply let us know what documentation is required when you enquire and we'll ensure everything is ready well before your event date.
What do councils typically require for marquee hire?
+
Requirements vary by council, but commonly include: a certificate of currency for public liability insurance (usually $20M minimum), a V2-certified installation sign-off, and sometimes a site plan showing the structure's placement and dimensions. We're experienced working with councils across Geelong, the Surf Coast, and greater Victoria and can advise on what's typically required in your area.
Do you have experience with racecourse events?
+
Yes — we regularly supply hospitality marquees for racecourse events including Geelong Racing Club. Racecourse events have specific requirements around compliance documentation, access windows, and installation standards. Our team is experienced in meeting all of these requirements without drama. For the ultimate race day experience, ask about The Emerald through our partnership with That Event Group.
Can you supply for multi-day events?
+
Absolutely — multi-day hire is standard for festivals, racing carnivals, exhibitions, and extended corporate events. Structures stay on site for the full duration and we return to pack down once your event concludes. Multi-day hire is factored into your quote based on the number of days and any additional requirements.
How quickly can you turn around a corporate quote?
+
We aim to respond to all corporate enquiries within 24 hours during business hours. For urgent requirements, call us directly on 0407 003 792 and we'll do our best to provide a same-day response. We understand that corporate events often run to tight timelines and we prioritise getting accurate quotes back to you quickly.

Tables, Chairs,
Umbrellas & More

Questions about our furniture range — from what styles we stock to how it pairs with a marquee hire. See the full range on our Furniture page.

What furniture do you stock?
+
We stock a comprehensive range including: trestle tables (6ft and 8ft), natural timber banquet tables, hairpin dining tables (black and white), round café and bar tables, 6ft round tables, Hampton crossback chairs, Americana chairs (white and black), white bistro chairs, Tolix bar stools, picnic tables (plastic and timber), wine barrels, market umbrellas (white, black, blue — 3×3m), and fencing (white picket and temporary). See the full range on our Furniture page.
Can I order furniture alongside a marquee?
+
Yes — and this is the most popular way to do it. We can package your furniture with your marquee hire for one delivery, one crew, and one invoice. It's simpler for you, more efficient on the day, and ensures everything arrives and departs together. Just include your furniture requirements when you enquire and we'll quote everything together.
Can I hire furniture without a marquee?
+
Yes — furniture can be hired on a standalone basis without a marquee. Market umbrellas, picnic tables, chairs, and other items are available independently. Just let us know what you need and we'll put a quote together.
What are your market umbrellas like?
+
Our market umbrellas are commercial-grade 3×3m umbrellas available in white, black, and blue. They come with weighted bases suitable for outdoor use and are designed for the kinds of conditions you'd encounter at outdoor events, markets, and festivals. They're a cost-effective alternative to a full marquee for smaller shade requirements.
What flooring options do you offer?
+
We offer timber flooring, carpet, and synthetic grass flooring options. Timber flooring is the most popular choice for weddings — it's warm, beautiful, and creates a great surface for dancing. Carpet works well for formal dining setups and corporate functions. Flooring is quoted as an add-on to your marquee hire — just ask when you enquire.
What condition is your furniture in?
+
We take pride in the condition of our stock. Every piece of furniture is inspected before each hire — if something doesn't meet our standard, it doesn't go out. We replace worn or damaged items regularly to ensure clients always receive furniture that looks the part for their event.

Where We
Work

Geelong-based, but we go where the events are. Here's how our service areas and travel work.

What areas do you service?
+
We're based in Geelong and service all of Victoria including: Geelong and surrounds, Bellarine Peninsula (Ocean Grove, Barwon Heads, Queenscliff), Surf Coast (Torquay, Anglesea, Lorne, Apollo Bay), Melbourne and metro, Mornington Peninsula, Ballarat, Bendigo, and regional Victoria broadly. We also travel interstate for larger events — just reach out and we'll discuss.
Is there an extra charge for travel?
+
Travel costs are factored into your quote based on the distance from our Geelong base. For events in and around Geelong, the Bellarine, and the Surf Coast, travel costs are typically minimal. For Melbourne, Ballarat, and more distant locations, we'll include a transparent delivery charge in your quote. There are no hidden fees — everything is itemised clearly.
Do you do interstate events?
+
Yes — for larger events we travel interstate. We work with freight and logistics partners to ensure compliant, well-coordinated deliveries across state lines. Interstate events are quoted individually based on the event's requirements, scale, and location. Contact us to discuss your interstate event and we'll advise on feasibility and costs.
What's your experience in the Geelong region?
+
We're deeply embedded in the Geelong events community. We know the venues, the access roads, the council requirements, and the local event calendar better than any out-of-town supplier. From Geelong Racing Club to Bells Beach, from Bellarine wineries to Lorne foreshore — we've worked across the region extensively and that local knowledge makes a real difference on event day.
